Job Summary
This position will provide overall administrative, planning, and
programmatic level support to the Mesa Community College Chief
Student Affairs Officer. This position will promote a culture of
collaborative and cooperative positive-working relationships with
student affairs and across the college. The Administrative
Coordinator will support budget needs, program and event planning,
and administrative functions for the Chief Student Affairs Officer,
and will be responsible for coordinating and prioritizing the work
of the administrative assistants and other support staff within the
division of Student Affairs. The person in this position must be
flexible in serving the unique needs of each of the departments.
The Administrative Coordinator will also demonstrate a dedication
to putting students first and a commitment to serving diverse and
nontraditional college students in a professional, sensitive, and
inclusive manner. Confidentiality, accuracy, and discretion will be
required when working with federal regulations, Maricopa County
Community College District and Mesa Community College
policies/procedures, requirements and/or standards regarding Title
IX, Code of Conduct, and Early Alert.
Essential Functions
40% Provides direct executive level administrative support to Sr.
Associate Vice President and Student Affairs. Assists with
guidance, oversight and administration of Student Affairs areas,
coordinate schedules and calendars, travel arrangements,
registration, program and project coordination; serves as a liaison
with students and faculty; develops partnerships and provides
collaboration on program initiatives and serves on committees as a
representative of Student Affairs; prepares agendas, schedule
meetings, prepare minutes, maintain distribution lists, maintain
Google Drives and other administrative duties as assigned.
25% Prepares and submits complex reports and correspondence to
various executive levels, Presidents, district and legal personnel,
community members, and vendors. Researches relevant information
from a variety of sources and compiles documents and other source
materials and reviews department/division procedures to ensure
compliance and recommend improvements or corrective actions;
Handles intake of all student complaints and concerns; Reviews and
screens incoming correspondence for assignment and distribution,
identifies reports for sense of urgency and/or escalation, offers
recommendations or referrals when necessary; works alongside MCC
leadership collaboratively on reports/cases to completion; provides
training, mentoring and coaching to staff, and participates in
hiring, discipline and termination activities; plans, organizes,
assigns, supervises, reviews and evaluates the work of staff, as
assigned.
10% Ensures compliance with applicable regulations, Maricopa County
Community College District (MCCCD) and Mesa Community College
policies, requirements and/or standards regarding Title IX, Code of
Conduct, and Early Alert; may prepare correspondence for Title IX,
Conduct, and Early Alert cases; Maintains electronic case file
database; Ensures timely response to all areas of concern.
10% Assists in the development of strategies, goals and objectives
to increase student engagement, retention, persistence and
completion; provides research and analytical support for programs,
funding, assessment of learning outcomes and/or other initiatives;
assists with monitoring and evaluating Student Affairs
programs/services to meet defined learning objectives and
outcomes.
10% Assists in the development, monitoring of the entire Student
Affairs budget; recommends funding opportunities and budget
allocation; may provide grant administration. Assist with reports,
purchases and spending reports. Prepare and reconcile requisitions,
purchase orders, ProCard purchases.
5% other duties as assigned
Minimum Qualifications
Associate's Degree from a regionally accredited institution and
three years of advanced administrative office support, secretarial,
or related experience providing office coordination activities,
preferably involving executive level staff.
OR
An equivalent combination of the conferred degree and directly
related full-time work experience as described above sufficient to
successfully perform the essential duties of the job such as those
listed above, unless otherwise subject to any other requirements
set forth in law or regulation, may be considered.
Desired Qualifications
A. Bachelor's degree
B. Five (5) or more years' experience as an administrative
assistant or office manager
C. Five (5) or more years' experience monitoring budgets, creating
requisitions and expenditures, coordinating travel, and/or ordering
supplies.
D. Experience prioritizing tasks, managing multiple projects,
and/or meeting deadlines.
E. Experience developing reports and preparing presentations
F. Experience using on-line enterprise systems /or databases (e.g.:
Human Resources, Finance, Contracts) and office technology such as
Microsoft Office Suite/Google Suite, and/or student management
systems (such as PeopleSoft)
G. Experience providing customer service and the ability to manage
confidential information with discretion
H. Proficient with office technology such as Microsoft Office
Suite/Google Suite
Special Working Conditions
Travel to campus during interview/selection process will be at
candidate's own expense
