And we are a leading provider of connected systems, processing nearly 165 million transactions each year across 50+ individual tolling authoritiesPosition OverviewThe Law Department Coordinator[RC1] reports directly to the General Counsel and serves the entire Law Department in a variety of legal, executive, and administrative duties to facilitate day-to-day departmental activities. A high degree of accuracy, attention to detail, timeliness, excellent communication skills, planning, minimal supervision, and the ability to maintain confidentiality are required to be successful in this position.Essential Responsibilities --- Legal/Compliance Matter Processing:o Serve as primary administrator for the Law Department's e-billing/matter management system (Tracker), including opening and closing matters, handling billing issues by coordinating with outside counsel billing departments and internal lawyers, and analyzing and enforcing compliance with the Outside Counsel Billing Guidelineso Assist with preparing monthly, quarterly and annual budgeting and accrual processes, coordinating with accounts payable, Finance and Legal team memberso Assist with the administration of Compliance Training Program by setting up and testing annual content modules, auditing employee training metrics and preparing reports and communicating with managerso Tracking incoming and outgoing matters requiring Law Department attention in a timely mannero Assist with management of internal legal group intranet site (the "Intersection")o Assist in the preparation and design of presentations and major written reportso Maintain and regularly update and circulate the Company's Insider Trading Listo Serve as a back-up resource on various platforms requiring Law Department responses, including for Certificates of Insurance, Vendor Certifications, EthicsLine, Exterro, etc.o Implement processes and procedures to help build efficiencies and automation across various groups --- Administrative Support for Law Department:o Process expense reports, travel authorization requests and check requests for members of the Law Departmento Maintain calendars and schedules for staff, including making domestic and international travel arrangements o Schedule and coordinate training and meetings o Create and process purchase orders; maintain and order office supplieso Review and distribute mail for the Law Departmento Monitor Law Department shared email inboxes and follow up as appropriateo Have a presence on-site in the Mesa Headquarters, as required o Support with the onboarding of new team members --- Contract Management Support:o Initial review and preparation of certain contracts, including NDAs, IT service providers, and other vendors o Organize and ensure fully executed contracts are complete and maintained in appropriate databaseso Maintain accurate and current database of contracts, agreements, and legal documents o Identify and extract information from corporate contracts (parties, termination dates, key legal terms) and enter into database(s)o Perform other duties as may be required from time to timeQualifications

  • Bachelor's degree in related area and/or equivalent combination of relevant education and professional experience
  • Three (3) years' relevant experience in a corporate department or law firm
  • Familiarity with or ability to quickly learn legal systems such as matter and billing management systems (preferably Legal Tracker), and contract management systems (preferably Cobblestone or Service Now)
  • Exceptional organizational and communication skills
  • Great attention to detail
  • Ability to handle confidential and proprietary information using excellent discretion and judgment
  • Ability to multi-task in a fast-paced environment and adjust to changing workload to ensure timely results
  • Self-motivated with ability to prioritize multiple activities simultaneously
  • Experience using Outlook for scheduling and an expense reimbursement system (preferably Concur)
  • Skill in effectively compiling, filing, retrieving, maintaining, researching, coordinating, and organizing information
  • Preferred:
  • Paralegal certification or a minimum of three (3) years' experience with paralegal responsibilities; and/or;
  • Three (3) years' experience in a legal, administrative, or executive environment administering and monitoring contracts and working with the design and implementation of filing systems or records management Aligned with Verra Mobility Values:
