Job Summary
Operational leadership of Academic Affairs is provided by four
Deans of Instruction. Working at the direction of the Deans, this
position coordinates the timely and effective administration of
Academic Affairs key processes. Develops and shares user-level
expertise to provide for the effective use of key business systems
across all academic departments. Supports a best practice model and
provides training for academic affairs administrative personnel
with the intent of improving the efficiency of Academic Affairs key
processes. Provides individual support for Deans of Instruction.
Performs basic research, preliminary analysis, coordination and
transactional support related to college's academic vision,
mission, values and goals for projects and processes as determined
by the Deans of Instruction.
Demonstrates a commitment to service excellence, innovation,
student success, integrity, and diversity in the performance of job
duties.
This position collaborates with multiple educational support
departments across the college, as well as with 23 academic
departments.
This position works within a team-oriented, collaborative
environment which fosters student learning, student academic
achievement, high academic standards, faculty expertise, faculty
and staff diversity, faculty and staff professional development,
multiple methods for delivery of academic programs,
community/industry partnerships and educational collaboration with
transfer educational institutions.
Deans of Instruction assist in communicating and implementing the
college's academic vision, mission, values and goals by providing
leadership for faculty and staff, engagement in student learning
and instruction that includes courses, certificates and degrees at
two campuses and multiple locations.
Essential Functions
40% - Serves as a Program Coordinator by providing process and
procedural coordination and support for academic and educational
support departments. This position supports the effective
administration of Academic Affairs key processes including (but not
limited to): program review, schedule building, retention efforts,
faculty evaluation scheduling (chair, residential, probationary and
program director), gathers and disseminates information for faculty
leadership elections (chair and program directors) and staff
evaluations for Dean-level direct reports, revises and completes
fiscal processes (procurement, travel, budget development/
monitoring, etc.), and grant administration (Perkins, Prop 301, and
other). Responds to inquiries, solves problems, monitors and
ensures compliance in accordance with policies and procedures.
Provides basic coordination and oversight of additional Academic
Affairs key processes including (but not limited to): department
planning, faculty staffing, enrollment roster certification, grade
submission, catalog review, course fee review, curriculum
development process, and student learning outcomes reporting.
15% - Performs basic research, preliminary analysis, coordination
and transactional support related to the college's academic vision,
mission, values and goals for projects and processes as determined
by the Deans of Instruction. Creates original correspondence,
reports, presentations, documents and academic affairs
materials.
15% - Develops and assists with training to provide for the
effective use of key business systems including (but not limited
to): Financial Management System (FMS), Human Capital Management
(HCM), Student Information System (SIS), data visualization
software, labor data software, career pathway software, office
productivity software (Microsoft, Google, etc.). Supports a best
practice model and provides training for academic affairs
administrative personnel with the intent of improving the
efficiency of Academic Affairs key processes.
15% - Assists with the development and implementation of Academic
Affairs process guidelines, forms, policies and procedures.
Organizes, updates and maintains Academic Affairs records, files,
manuals and/or documentation. May provide lead direction and/or
supervise assigned lower level non-exempt regular staff.
15% - Provides basic Academic Affairs information to students,
faculty, staff and the public; provides troubleshooting support to
resolve issues. Provides individual support for Deans of
Instruction including (but not limited to): administrative support
(calendaring, preparation of materials, responsiveness to
inquiries), researching policy and procedure to ensure compliance
with college and district guidelines, maintain confidentiality and
security of information, responsiveness to student issues, travel
support, budget support, human resources support, liaison with
internal and external stakeholders. Prepares, processes and/or
reconciles transactions, forms, paperwork and/or system data.
Minimum Qualifications
Bachelor's Degree from a regionally accredited institution and one
full-time equivalent year of experience in researching information,
gathering data, performing preliminary analysis and preparing
reports.
OR
Associate's Degree from a regionally accredited institution in
education, business or public administration, or a related field
and three years of full-time equivalent experience in researching
information, gathering data, performing preliminary analysis and
preparing reports.
OR
High School Diploma/GED and five years of full-time equivalent
experience in researching information, gathering data, performing
preliminary analysis and preparing reports.
Desired Qualifications
A. Associate degree or higher
B. Experience in monitoring or preparing budgets
C. Experience working in a higher education environment
D. Experience coordinating complex projects, activities, and
schedules
E. Experience using online human resources, student information,
and/or financial management systems
F. Experience using Microsoft Office programs and/or other office
productivity software
G. One year of direct user experience with one or more of the
following data/software systems: Tableau data visualization
software, Lightcast, or Gray Associates Program Evaluation
System
Special Working Conditions
Any travel to campus during interview/selection process will be at
candidate's own expense
May be required to travel or be assigned to all MCCCD locations
May require prolonged periods of viewing a computer screen
May be eligible to telecommute 2 days a week
