Job Description:
The Program Coordinator will provide essential administrative and
logistical support to the ASU Hispanic Research Center (HRC). The
position reports to the director of the Hispanic Research Center
and works closely and collaboratively with the associate director
and other HRC staff, as well as stakeholders to plan, organize,
direct, and execute against all the projects the HRC is involved
in; identifies and acquires necessary resources and coordinates
efforts by all parties to ensure timely delivery of project
outcomes in accordance with the HRC's vision and mission.
The ideal candidate will have strong project management and
organizational skills, a track record of handling multiple
initiatives, and the ability to work through challenges with
persistence. They must be comfortable working both independently
and in team settings and be able to effectively balance and focus
on objectives in an environment where projects compete for
priority.
Salary Range: $56,500 - $60,500; DOE
Essential Duties:
Plans, develops, implements, and manages a project team through
complete task definitions, work requirement identification, and
assignments.
Support day-to-day operations of the HRC, including scheduling, and
general administrative tasks.
Organize event coordination, including venue reservation, catering,
speaker communication, and assist with registration and
marketing.
Organize cross-functional teams and manage multiple projects,
including those requiring input from Center leadership.
Provide on-site event support (set-up, clean-up, attendee needs)
and coordinate with facilities or other event partners.
Establishes and continually monitors/manages project expectations
with team; assigns tasks and identifies issues for resolution to
ensure optimal team effectiveness.
Prepares and maintains all project status reports and schedules;
tracks milestones, deliverables, critical paths, and dependencies
while adjusting expectations as needed. Respond to inquiries
regarding project status and ensure compliance with regulatory
requirements.
Coordinates communications/marketing and business operations to
streamline and synthesize project priorities and goals.
Research and provide background materials to prepare leadership for
key meetings with university and community stakeholders.
Identifies risks to project outcomes and develop strategies to
mitigate or adapt to these challenges. Responds to all inquiries
regarding project status; prepares and responds to all regulatory
reporting
Draft and send communication to project stakeholders.
Prepares post-project reports, budget allocations, and summaries to
ensure timely dissemination of information to all interested
parties.
Monitor program expenditures and assist with financial
documentation and reimbursement processes.
Other support duties as assigned.
Desired Qualifications:
Evidence of Project Management certifications or experience.
Proven track record of managing multiple projects requiring
participation and input from various stakeholders. Demonstrated use
of CRM, SIS or other project management systems.
Excellent verbal and written communication skills, with a strong
ability to present ideas clearly and confidently, including a high
level of comfort with public speaking and engaging varied
audiences.
Strong ability to research, synthesize information, and ask probing
questions.
Strong organizational skills and attention to detail, with the
ability to handle multiple tasks and meet deadlines.
Education domain knowledge, especially in higher education.
Experience managing calendars with Microsoft Outlook.
Proficiency with Microsoft Office applications (Word, Excel,
PowerPoint) and other web-based platforms (e.g. Canva,
Photoshop).
Ability to work both independently and as part of a team.
Bilingual skills (English and Spanish).
Working Environment:
Activities are performed in an environmentally controlled office
setting subject to extended periods of sitting, keyboarding and
manipulating a computer mouse; required to stand for varying
lengths of time and walk moderate distances to perform work.
Frequent bending, reaching, lifting, pushing and pulling up to 25
pounds. Regular activities require the ability to quickly change
priorities which may include and/or are subject to resolution of
conflicts. May be required to perform tasks in the field within
and/or across university campuses.
Minimum Qualifications:
Bachelor's degree and three (3) years of experience appropriate to
the area of assignment/field; OR, Any equivalent combination of
experience and/or training from which comparable knowledge, skills
and abilities have been achieved.
